EVERGREEN HOME FOR SPECIAL CARE - HR Coordinator

 

POSITION SUMMARY:

Reporting to the Administrator, the Human Resources (HR) Coordinator will undertake a variety of HR administrative duties. Responsible for facilitating daily HR functions like full-cycle recruitment, staff scheduling, assisting with payroll, attendance management, maintaining personnel files and other administrative duties.

JOB SPECIFICATIONS:

  • Human Resources Diploma/certificate
  • 2 years of related experience
  • Understanding of medical terminology considered an asset
  • Knowledge of staff schedule preparation
  • Experience in hiring, staff scheduling and attendance management
  • Strong written and oral communication skills
  • Experience in unionized environment preferred
  • Strong knowledge and skill with Microsoft Excel, Word and Outlook
  • Demonstrated strong interpersonal communication skills and commitment to a team approach.

REPORTING RELATIONSHIPS: Reporting to the Administrator


KEY RESULT AREAS

DUTIES:

ADMINISTRATIVE:

  • Compile various statistical reports.
  • Maintain up-to-date personnel files
  • Assist with maintaining policies and forms
  • Assist with clerical duties in the absence of other administrative staff such as payroll backup, etc.
  • Responsible for reviewing staff incidents, submit WCB reports,
  • Coordinate "Stay At Work" program with department heads, medical professionals and WCB personnel
  • Explain to staff use of computer programs as required

NURSING AND OTHER DEPARTMENTS:

  • Prepare time schedules in accordance with needs of the department, collective agreement(s) and Department of Seniors and Long Term Care staffing guidelines
  • Receive calls from staff when calling in ill or absent and replaces as necessary
  • Adjust schedule where necessary and/or possible upon receipt of staff requests and illness
  • Maintain the staff schedules and update as necessary

SAFETY:

  • Familiar with fire regulations, exits, fire alarms and extinguishers.
  • Knowledgeable of safety standards of the facility and complies all such standards.
  • Familiar with the Emergency Disaster Plan of the facility.

CONDUCT/ETHICS:

  • Maintain confidentiality regarding residents, families, employees and the facility.
  • Maintain good communication with other departments to ensure co-operation and team work.
  • Adhere to the facility policies

OTHER RELATED DUTIES:

  • Assist with ordering supplies as required
  • Assist with inventory as required
  • Assist in various clerical duties in the absence of other Administrative staff
  • Data inputting and filing as assigned.
  • Attend Administration as well as general staff meetings.
  • Carries out other duties as assigned.
